Screenshot vs Screen Recording: Which Should You Use?

Use a screenshot to show a state and a recording to show a process. How to choose, and how to combine them.
The short answer
Use a screenshot to show how something looks right now. Use a screen recording to show how to get there or what happens over time. If the question is “what does it look like?”, a screenshot is almost always faster for you and easier for the reader.
Use a screenshot when
- You are pointing at one thing: an error message, a misaligned button, a setting.
- The reader will look at it for a few seconds, not follow along.
- You want to mark it up with arrows, boxes, text or numbers.
- You need it in a document, ticket or chat where images paste in easily.
- You want a small file that opens anywhere.
Use a screen recording when
- The problem only happens during a sequence of actions or as something moves.
- You are teaching a process with many steps that depend on timing.
- Something animates, loads slowly or flickers, and a still image would miss it.
- You want to narrate as you go, if your recording tool supports audio.
Costs people forget
A recording is slower to make, slower to watch and harder to skim. People cannot search a video for one line or paste a frame of it into a ticket. Video files are also much larger than images.
A recording can also catch more by accident: a notification, another tab, a name in a corner. Review it from start to finish before you share it, because you cannot simply cover one spot as you can in a still image.
Use both, in the right order
- Start with an annotated screenshot of the key moment, so the reader knows what to look for.
- Add a short recording only if the screenshot cannot show the problem.
- For a tutorial, a numbered sequence of screenshots is often clearer and lighter than a video, and easy to update when the screen changes.
